Examinations Office

Examinations Office is responsible to manage the pre and post examination preparations. This includes monitoring the submission and approval of examination assessment papers and results; management of exams and academic records. This position has to work with faculty members and internal/external stakeholders to ensure compliance to the approval process are adhered to, in accordance with internal SOP and CPE requirements; as well as involve and support in exam invigilation related matters. The staff in the Examinations Office must conduct themselves in an ethical manner, demonstrate honesty and integrity. Meticulous and possess good organizational skills are essential.

Roles & Responsibilities

Examinations Management

  • Monitoring and liaising with the teaching faculty on the submission and approval of internal/external examination question papers and ensuring strict compliance to the approval process as stated in published examination processes and procedures
  • Managing and preparation of exams; ensure timely updates and proper record

Results Management

  • Monitoring the return of the marked assessments; checking of results to ensure accuracy and compliance
  • Coordination of results release procedures and ensuring timely release of results in accordance to published examination processes and procedures
  • Managing and handling result related matters in an online platform system (where applicable)
  • Monitoring, tracking and maintaining of academic-related records and follow up actions

Management of invigilator pool

  • Scheduling of exam invigilation duties, notifying invigilators on any updated proprietary and partner universities’ examination policies
  • Preparation of invigilators contract. Monitoring, maintaining, and tracking of invigilator’s contact and performance
  • Monitor and review CIs and invigilators’ performance as per KPIs and guidelines stipulated in the invigilators’ guide and contract
  • Participate in invigilator’s induction session where applicable
  • Work closely with invigilator team for feedback, problem solving and improvements.
  • Involve and support in exam invigilation where applicable

Communication and Support

  • Initiate discussion to gather information and resolve issues encountered by the team assigned
  • Work closely with the team manager and other relevant parties to resolve issues and improvement in examinations and administrative related processes
  • Participated in new initiatives proposed by the team or team manager for performance efficiency and new learning opportunities

Job Requirements:

  • Bachelor’s Degree holders in any discipline
  • Proven administrative experience
  • Good verbal and written communication skills for use in interfacing with internal and external stakeholders
  • Proficiency in Microsoft Excel, Word, and PowerPoint
  • Ability to maintain a high level of confidentiality and professionalism in dealing with sensitive data
  • Strong interpersonal and relationship management skills, with the ability to work and communicate effectively with different stakeholders at all levels
  • Ability to remain organized and detail-oriented while processing large volumes of data and paperwork
  • Experience in the Private Education Industry would be advantageous
