Exhibition/ Sponsorship Producer

We are looking for an Exhibition & Sponsorship guru with experience of working with the Technology sector to oversee the exhibit operations, service delivery and sponsorship fulfilment for our clients. Responsible for the development, management and execution of various sponsorship elements relating to exhibitions (inc. complex custom builds) and 3rd party sponsorship. This is an exciting opportunity to produce world class events for globally renound brands, from the initial concept through to on site delivery and debrief.

Organisation will be integral and our clients will be your priority. Junior members of the team will look to you for guidance whilst senior members will rely on you to support them across a variety of projects. The role involves both UK and international travel and reports directly to our Operations Director.


Project Management

  • Producing flawless events across EMEA with a strong operational focus and a hands-on attitude
  • Delivering on time, within budget whilst exceeding stakeholder expectations
  • Setting, communicating, and maintaining timelines and priorities on every project
  • Liaison with all stakeholders, including senior management (internal, suppliers, clients)
  • Creating branding briefing documents for events
  • Audio Visual direction i.e Compiling a technical brief and managing an AV team on site
  • Implementing client requirements on a project-by-project basis, challenging and suggesting alternatives as necessary
  • Anticipating and responding intuitively to challenges with satisfactory solutions
  • Managing supplier relationships across EMEA; sourcing, briefing, negotiating and ensuring deadlines and budgets are met
  • Managing and interpreting the needs of clients, teams and delegates (pre-event/onsite/post-event)
  • Preparation and ongoing management of budgets in multiple currencies, ensuring 100% accuracy with any fluctuations justified, adhering to internal processes including recording quotes, creating PO’s, payment schedules, processing invoices accurately and post event reconciliation
  • Preparation of onsite schedules, working/onsite docs, critical paths, health & safety and crisis management documentation to ensure proactive and thorough contingency planning is in place
  • When supporting larger projects; Recording and communicating planning updates to the Project Lead/Account Director during the delivery phases
  • Experience of managing general event logistics essentials to include; travel and accommodation, shipping, delegate movement, etc.
  • Experience of producing exhibition stands preferable

Reconciliation & Post Event

  • Ensure projects are reconciled and information is passed in a timely fashion to Finance for billing
  • Actively participate in internal and external debriefs for the purposes of review and continual improvement
  • Sharing learning with the team from an operational, technical, content and supplier perspective
  • Manage the post event administrative process, including working with the Marketing function to create a case study

New Business – Brief Taking & Pitching

  • Contributing to new business development including industry networking, building relationships, referrals or from contacts within your existing network of contacts
  • Contribute to elements of the pitch
  • Confidently participate in face-to-face presentations for new business should the need arise


  • Minimum 5 years’ experience of exhibitions/ complex custom stand builds, with 1 year as an Event/Project Director
  • Proven experience in directing and managing large-scale corporate exhibitions & events
  • Excellent written and verbal communication skills
  • Impeccable organisation skills with the ability to prioritise effectively
  • Very strong project management and decision-making skills
  • Proficient in managing complex budgets
  • IT literate (MS Office)
  • An ability and willingness to travel (UK and internationally) for site inspections and event delivery
  • The right to work in the UK
  • Experience in the following is preferable; Exhibitions, PROCIM, Google Docs, Multilingual Multi-currency budget management
