Reporting to the CEO and Head of HR & Admin, this broad ranging hands-on role will take responsibility for a number of areas within the business including HR, Facilities, Office Management and General Administration.

HR administration service

  • Providing advice & guidance on all HR administration service matters for staff / SMT.
  • Ensuring that all HR administration is delivered in a timely and accurate manner.
  • Maintaining confidential personnel files & training records.
  • Responsible and ensuring all records are up to date and accurate on the HRIS system.
  • Working closely with HRIS team to conduct training for staff.
  • Working closely with the payroll vendor to ensure accurate and timely payment to employees as well as reports to social insurance department.
  • Leading and delivering administration support for all HR projects.
  • Managing the recruitment process and employee on-boarding/ off-boarding.
  • Orienting employee to company policies and procedures.
  • Supporting Head of HR in dealing with employee queries.

Office management

  • Managing all general administration including reception, security, cleaner, driver, tea & mailing staff.
  • Ensuring reception and office areas are tidy, welcoming, safe and clean.
  • Managing office supplies within budget.
  • Directing & supervising ad-hoc office service projects (renovation, health & safety…)
  • Developing and supervising office services and equipment.
  • Coordinating with PVA team to maintain building security, health & safety.
  • Working with the landlord to renew the lease and signage contract and other tasks related to property management.
  • Managing admin staff, equipment, supplies and other resources are used effectively and economically.
