NORC at the University of Chicago seeks an Administrative Assistant to join its Human Resources Department in our Chicago, IL office.

The ideal candidate will be experienced in handling a wide range of administrative and leadership support related tasks and will be able to work both independently and as part of a team. This person must be flexible, well organized and pay careful attention to detail and should enjoy the administrative challenges of supporting a leadership team in growing organization. The candidate should demonstrate the ability to prioritize and manage multiple projects simultaneously and follow through in a timely manner, sometimes working under pressure. Also critical is the ability to be resourceful and efficient, while exhibiting a high degree of professionalism. This person will also need to quickly comprehend and act on changing priorities when necessary and proactively address administrative issues and needs.

It is the mission of the NORC Human Resource Department to provide effective human resource management by developing and implementing policies, programs, and services.

Responsibilities

  • Will take the lead on HR projects such as coordinating year-end employee award distribution, Anniversary giveaways, spot awards, and NORC Cares initiatives
  • Manage and track employee required trainings
  • Take the lead on registering new hires for mandatory trainings and own attendance tracking for the NORC Start and NORC Launch onboarding programs
  • Assistant with scheduling and logistics for new hire programs
  • Coordinate new hire laptop shipment logistics with IT and Department staff
  • Assist with badge creation and distribution
  • Lead staff photo management
  • Schedule meetings and interviews for HR positions and provide HR meeting oversight to include meal ordering/expenses (once back in the office)
  • Manage department purchases – ordering and invoicing
  • Assist with Job fair coordination – preparing shipments, tracking receipts, maintaining inventory of giveaways (once back to the office)
  • As needed, assist with simple job postings in PageUp including using P Card to pay for postings and manage expenses as needed
  • Lead mass mailing projects currently done in-house
  • Perform routine updates to documents on In-Site and maintenance of folders
  • Assist team with new hire I9 completion and other new hire paperwork, as needed

Required Skills

  • Bachelor’s degree or equivalent experience
  • At least 1 year of relevant experience supporting an organization or department in a fast-paced environment
  • Experience working in HR or related field, would be helpful, but not required
  • Advanced expertise in Microsoft Outlook, Excel, Word and PowerPoint, and an overall proficiency with technology and software
  • Demonstrated effective communication skills and the ability to work collaboratively
  • Ability to handle sensitive material in a confidential manner
  • Strong writing and editing skills
  • Creativity, a positive attitude, and the ability to identify problem-solve and recommend process improvements, highly valued
  • Ability to be proactive, actively seek opportunities, identify possible obstacles, and propose solutions
